
Terms & Conditions
for Matsuri Retreat
Effective Date: 2026.02.16
These Terms & Conditions govern your participation in the Matsuri Retreat organized by The Zenjo (“Organizer,” “we,” “us,” or “our”). By registering for and participating in the retreat, you agree to the following terms.
Registration & Booking
Your place in the Matsuri Retreat is confirmed only once:

Your registration form has been submitted, and
-
The required deposit or full payment has been received.
The contract between you and The Zenjo becomes binding upon confirmation of your booking.
We reserve the right to decline a booking at our discretion.
Payment
All retreat prices are listed in [SEK / EUR – specify currency].
The retreat fee includes:

Accommodation (as specified in the retreat description)

Scheduled sessions and workshops
-
Meals (as described in the program)
-
Retreat materials (if applicable)
The retreat fee does not include:
-
Flights or travel to/from the venue
-
Travel insurance or personal insurance
-
Personal expenses
-
Optional add-ons unless stated
A deposit of €500 is required to secure your place.
The remaining balance is due 30 days before the retreat start date.
If the balance is not received by this date, your reservation may be released.
Cancellation Policy (Participant)
Deposit refunds:

60+ days before retreat start date → 100% deposit refund

30–59 days before retreat → 50% deposit refund
-
0–29 days before retreat → deposit non-refundable
Remaining balance:
-
Fully refundable up to 30 days before the retreat start date
-
0–29 days before retreat → non-refundable
Bookings may be transferred to another participant with prior notice and approval.
We strongly recommend purchasing travel and cancellation insurance.
Cancellation or Changes by The Zenjo
The Zenjo reserves the right to:

Modify the schedule, teachers, or program content if necessary

Change the venue to a comparable location if required
-
Cancel the retreat due to insufficient participants or force majeure
In the event that The Zenjo cancels the retreat, participants will receive either:

A full refund of payments made, or
-
The option to transfer payment to a future retreat.
The Zenjo is not responsible for external costs such as flights or other travel expenses.
Health & Personal Responsibility
By participating, you confirm that:

You are physically and mentally fit to participate in retreat activities.

You understand that activities may include physical movement, breathwork, drumming, meditation, cold exposure (if applicable), walking, or other embodied practices.
Participation is voluntary and at your own risk.
You agree to:

Inform the Organizer in advance of any relevant medical conditions.

Take full responsibility for your own health and wellbeing during the retreat.

Stop any activity if you feel discomfort or risk.
The Zenjo does not provide medical services and does not replace professional medical advice.
Assumption of Risk & Liability Waiver
You acknowledge that participation in retreat activities involves inherent risks.
To the fullest extent permitted by law, The Zenjo and its facilitators shall not be held liable for:

Personal injury

Loss or damage to personal property
-
Delays, travel disruptions, or force majeure events
-
Emotional responses arising from participation in workshops
Nothing in these Terms excludes liability where it is unlawful to do so under applicable law.
Code of Conduct
The Matsuri Retreat is a respectful, shared space.
Participants agree to:

Treat others with respect and consideration
-
Refrain from disruptive, aggressive, or inappropriate behavior
-
Respect the venue and surrounding nature
The Zenjo reserves the right to remove a participant from the retreat without refund if their behavior is deemed unsafe or seriously disruptive.
Alcohol & Substance Policy
Unless explicitly stated otherwise, the retreat is intended as a conscious, sober environment.
Illegal substances are strictly prohibited.
Moderate alcohol consumption (if allowed at the venue) must not interfere with group safety or experience.
Photography & Media
The Zenjo may take photographs or videos during the retreat for promotional purposes.
By participating, you grant permission for such media to be used unless you inform us in writing before the retreat.
Participants are asked to respect others’ privacy when taking personal photos.
Intellectual Property
All retreat materials, content, and teachings remain the intellectual property of The Zenjo unless otherwise stated.
Participants may not reproduce, distribute, or commercially use retreat content without written permission.
Insurance
Participants are responsible for obtaining:

Travel insurance

Health insurance
-
Cancellation insurance
The Zenjo is not responsible for costs arising from lack of insurance coverage.
Governing Law
These Terms & Conditions are governed by the laws of Sweden.
Any disputes shall first be addressed in good faith discussion. If unresolved, they shall be subject to Swedish jurisdiction.
Acceptance of Terms
By registering for the Matsuri Retreat, you confirm that you have read, understood, and agreed to these Terms & Conditions.
